Rate uplift/increase tool user guide

Guide to use the Rate Uplift / Increase tool in CareBlox

CareBlox includes a tool that allows mass updates to pay rates and salaries.


This feature is not enabled for all sites. If you think it would be useful, contact your Head Office team to raise a ticket with CareBlox Support.

Access to this tool is permission based. If you cannot see an area you believe you should have access to, let your Head Office know.


Tool Overview

The Rate Increase tool adds several new areas to the Payroll module. Access to each area can be set by user.

Available tabs:

  • Rate Increase Setup – Set the increase dates and threshold limits

  • Enter Rate Increase – Add and review new pay rates

  • Confirm Rate Increase – Summary of the batch before approval

  • Approve Rate Increase – Final approval before processing

  • Export Variance Report – Excel report showing pay differences between dates


Rate Increase Setup

This can be done in the following area
Payroll → Admin → Rate Increase Setup

Here you set the details used for the uplift:

  • Pay Cycle – Select the Home ID (each home can have its own setup)

  • Effective Date – When the new rate applies (used for variance reporting)

  • Pay Cycle End – Last date payroll runs on old rates

  • Action Date – When the uplift will be processed

  • Threshold – Maximum % increase or decrease allowed
    (e.g. 10% means £10 can increase to a maximum of £11)


Enter Rate Increase

This can be accessed by navigating to Payroll → Employee → Rate Increase → Enter Rate Increase.

This screen shows all active employee rates for the selected home and allows you to enter new rates.

You can save the batch at any time and return later.

Ways to Update Rates

All increases are limited by the threshold.
If a rate exceeds it, it will show orange with a threshold warning.

Manual Entry

  • Type the new value into the New Rate column

  • Valid changes will highlight green

Rule Selector – Fixed Amount

  • Filter by Age, Role, Pay Type

  • Enter old and new rate values

  • Click Update to apply changes in bulk

Rule Selector – Percentage

  • Filter employees as above

  • Select Percentage and enter the increase value

  • New rates will calculate automatically


Confirm Rate Increase

This can be done by following these steps:
Payroll → Employee → Rate Increase → Confirm Rate Increase

This screen shows:

  • Home name

  • Batch number

  • Number of employees affected

  • Number of rate changes

Review the details, then click Confirm.


Approve Rate Increase

Navigate to Payroll → Employee → Rate Increase → Approve Rate Increase.

A second‑level approval is required.
Review the batch and click Approve when ready.


Processing the Rate Increase

The system will apply the uplift automatically overnight on the action date if:

  • The batch is approved

  • The final payroll period before cycle end is generated and confirmed

  • The action date has been reached

If not, the system will retry daily until all conditions are met.


Export Variance Report

Employees who worked between the Effective Date and Action Date may need pay adjustments.

The Export Variance Report downloads an Excel file showing:

  • Employee and role details

  • Hours worked

  • Old and new rates

  • Pay difference
